    Dear Forum,

Our small SP has a new By law  drafted , EGM arranged, owners mailed ,with enough owners verbally agreeable for a positive vote  (7/9 or 77%).The SM has advised the EGM can be held at their office location if proxies are received and the respective motions voted upon at that location.I am keen for the motions to pass and would like to ask owners providing a positive proxy to fax/scan to me 1 week before the meeting to ” ensure the numbers” are solid.I will then fax /email to the SM before the EGM.

The SM is tacking on last annual minutes of the AGM from a few months back but these minutes don’t affect the proposed motions relating to the new By Law.

Does this sound like the correct process?Appreciate any thoughts….thank you Parker.

As long as the minutes of the last meeting go out with the formal notice of the meeting at least seven days before, you are OK.  Because yours is a ‘not large’ strata plan, proxies can be present at or just before the meeting.  IOn large strata plans (over 100 lots) the proxies have to be given to the secretary at least 24 hours before the meeting.
