      What works for us is a monthly maintenance sub committee meeting which is attended by the BM & a few EC members. This committee goes through the work log & invoices for the month & progress of budgeted projects (e.g. replacing common area carpeting/new external paintworks). At the monthly ECM, the minutes of the maintenance committee are read through & discussed briefly & any invoices approved.

      Our BM is on site & also attends EC meetings. Large budgeted maintenance projects are discussed at AGM/ECMs. We’re a large SP though.

        Do your strata levies include therapy for the building rep? ;)

         

        I’m in a bigger block, so we have on site security/building management for most issues raised by residents. The strata manager handles a deal of owner issues via email/phone as the first point of contact for owners. We have a logbook on the front desk where people can document issues that the building manager can action the following day.That log gets reviewed monthly to make sure there’s nothing that needs to go into the budget/requires more attention. e.g. 10 complaints saying a BBQ isn’t working means it probably needs to be replaced.

         

        A generic email account, separate from personal email so that the password can be handed over should the person doing the work change + a log book of some kind might work out ok in your situation. Generic email accounts can also be shared should your building rep. ever need a holiday/or someone else is kind enough to volunteer to share the load. I’d also suggest the building rep. lay down some ground rules on how/when they can be contacted. Another idea is a mobile phone specifically for the role, paid for by the OC. The phone can be handed around/diverted if needs be.

         

        I’m mytwitface averse, not sure I’d like our building’s dirty laundry handed over to companies which exist to mine data.

          This is pretty much the method I used to buy property to live in as well – with one additional step.

          I used an old street directory (remember them? pre google maps?) & ripped out the pages of the suburb I wanted to live in & refused to look at anything beyond that boundary.

          Took a week to find the place I’m currently living in. The ‘must haves’, ‘like to haves’ and ‘dream apartment haves’ & ‘must definitely not have’ lists & the maps really focused attention on what was important & saved a deal of time.

            One of the hassles we’ve had is with a sole provision clause in one license agreement presented to our EC. ECs/OCs beware! Suggest you read the fine print very carefully, lest you lock out more suitable providers down the track due to restrictive terms of existing contracts.

             

            Nice tip about the electricity use. Will remember that one.

              Members of our OC are given the choice to receive EC notifications & minutes via email. Has cut down on postage costs & makes communication/record keeping much easier. You could try suggesting a similar setup.

               

              We have a by-law which permits AGM/EC notifications & minutes to be received by email.
