Hi,
We have a new Strata Manager and hope you can advise how far back strata records from the previous management should go onto a new portal? It would be a lot of docs as our previous management had the building for some years….
When digital records are handed from old to new management – if not placed completely on portal – how can it be accessed? Or will it be lost to time? How long should records be kept for?
As there are no more “minute books” at the Strata Management office site for those that wish to see the past (and recent past), how is the building history kept?
Important information on past changes and decisions for understanding or just for the curious of how and why the building operates as it does in the present can be found in these records.
We now have a new Strata Committee also – only 1 member of 3 that has been in building longer than 18 mths. I am concerned that an accurate history maybe lost…informed decisions may be difficult.

The records of the OC need to be held for seven years. The act does not specify the form that they need to be held.
Its likely your new strata manager will charge to load all the records you want. Secondly don’t expect the portal of the new strata manager to be the same as the previous one.
I would suggest that you get all the records from the old strata manager on a usb stick. You can then store the usb and a secure copy, for searching in the future.
Yes, I thought it was seven years too. But remember there will be some records that existed before that and which you want to retain, like the strata plan, the strata management statement (if there is one) and the original by-laws as well as records of any changes.
